Role Context

The High End TV (HETV) program delivers skills initiatives and interventions to grow and improve the calibre of the high end drama workforce. The HETV Administrator will manage the day-to-day administrative duties required by the HETV team. The role is pivotal to the smooth running and functions of the team and will work closely with the HETV lead to ensure the team has access to all required data and that all HETV processes offer a joined up collaborative approach to support the industry and the wider skills teams. 

Role Purpose

The HETV Administrator will have responsibility for all aspects of administration for the HETV team. The post holder will work across a breadth of activities including the set up and smooth running of meetings and working groups whilst maintaining all other administrative duties which help ensure the smooth running of the service. 

Key responsibilities 

  • Liaising and engaging with internal and external customers and stakeholders, responding to telephone and email enquiries, and acting as a first point of contact for HETV
  • Scheduling internal and external meetings, including booking facilities, preparing documents and ensuring provision for all related requests
  • Arrange all HETV council, subcommittee and working group meetings, ensure clear and positive communication on all aspects of the meetings with HETV industry group members
  • Coordinate with HETV lead and wider team all paperwork related to these meeting and ensure agendas and related paperwork is issued in a timely manner ahead of each meeting
  • Take and draft accurate minutes for all required meetings
  • Managing electronic filing systems, setting up and maintaining document archives
  • Manage all HETV contacts ensuring the database is up to date
  • Collecting, collating and disseminating data and information
  • Organising and co-ordinating information for HETV events and where appropriate attend events
  • Diary management and support for the HETV Lead
  • Following existing administrative procedures and developing new procedures to improve efficiency
  • Coordinate team meetings, and provide team diary management as necessary
  • Support the issuing of timely contracts for HETV funded training, bursaries, Make a Move and Trainee Finder when required
  • Provide administration support for HETV internal schemes when needed
  • Monitor HETV email account and forward/respond to enquiries promptly and as needed.
  • Work with the HETV Coordinator to ensure HETV related social media is up to date and support the monthly newsletter compilation

Essential skills and experience

  • Proven experience working effectively as a secretary and/or administrator
  • Previous experience of setting up and running efficient office systems and procedures
  • Experience of working as part of a busy team handling multiple projects and effectively prioritising conflicting priorities
  • Experience of accurate minute taking and drafting formal documents
  • Experience of collating and disseminating information for different audiences or customer groups using clear, appropriate language
  • Experience dealing with a wide range of senior executives and building positive relationships
  • Microsoft Office including excellent presentation of documents Microsoft Word, ability to manage data in Microsoft Excel spreadsheets and ability to prepare basic presentations in Microsoft Power Point
  • Good problem solver and can do attitude, calm under pressure
  • Ability to present a professional image, with an excellent telephone manner, and strong customer service skills
  • Adept at utilising Social Media marketing tools
  • A passion for the Film and TV industry
